Managing documents efficiently is essential for smooth processing, compliance, and a better client experience. In Chief, the Files section is the central hub for every document linked to a deal.

Where to Find Deal Documents

Open any deal and click Files, this is where all documents related to the deal live, including:

• Files uploaded by you • Files uploaded by the client • Files uploaded by a referral partner • Documents received via email • Files generated through integrations

Uploading Files

Click Quick Actions → Upload Files, then:

• Browse & upload, or • Drag and drop files directly into the upload area

Once uploaded, files will appear in the document list.

File Options (Chevron Menu)

Click the chevron icon beside any file to access options:

• Remove file • Share to Client Portal • Share to Partner Portal • Assign to • Add Labels • Lock / Unlock file

Assign To (Very Important)

This is a powerful feature for managing repeat clients. When you assign a document (e.g. driver’s licence) to a specific client:

• After settlement, the document is automatically saved to the client’s Finance Profile • When you create a new deal for the same client, previously assigned documents automatically migrate into the new deal card

Labels: Why They Matter

System-generated labels include:

• Identity Document • Credit Report • Bank Statements

Filtering & Searching

Using the Filter (funnel) icon, you can filter by:

• Label (e.g. Identity Document) • Who uploaded the file • Document type (e.g. PDF)

You can also:

• Search by file name or keywords • Sort by upload date or file size

This makes locating documents fast and efficient.

Auto-Linking in Home Loan Tools

Correct labelling does more than organise files, it connects documents automatically across the deal.

When labelled correctly:

• In Home Loan Tools → Identification → Personal Details, the Preview button opens the labelled Identity Document • Bank statements appear in the relevant Liabilities section • Documents surface in the appropriate compliance and supporting document areas
